This notice explains how Vailion Oy handles personal data sent through the contact form on vailion.fi. Last updated 3 November 2026.

What we collect

When you send the contact form, we receive your name, organisation, email address, chosen topic and message. Our web server also keeps standard technical logs (such as IP address, time and requested page) for security and troubleshooting.

Why we use it

We use your details only to reply to your enquiry and to continue any discussion or cooperation that follows. The legal basis is our legitimate interest in responding to business enquiries (GDPR Article 6(1)(f)), or steps taken at your request before entering into a contract (Article 6(1)(b)).

Who can see it

The contact form is handled by Formspree (Formspree, Inc., United States), which receives the form on our behalf, forwards it by email to Vailion staff who handle enquiries, and stores a copy in our Formspree account. Because Formspree is based in the United States, your message is transferred outside the EU/EEA; the transfer is covered by Formspree’s data processing terms. Our hosting provider also processes data on our behalf. We do not sell personal data or share it for marketing.

How long we keep it

We keep enquiries for as long as they are needed to handle the matter and any resulting cooperation, and then delete them, including the copies in our Formspree account. Server logs are deleted automatically according to the hosting provider’s retention schedule.

Cookies and tracking

This website does not use cookies, analytics or third-party tracking. Fonts, images and videos are served from our own server. The contact form is sent to Formspree only when you press Send.

Your rights

You can ask to see, correct or delete your personal data, and object to its processing, by emailing the address above. If you believe your data has been handled unlawfully, you can lodge a complaint with the Office of the Data Protection Ombudsman in Finland (tietosuoja.fi).
